HoloLens User Licensing & Security Deposit Agreement

Compliance Assurance Deposit

$650.00

Purpose of the Deposit

The HoloLens Compliance Assurance Deposit is a refundable security hold required for the use of Microsoft HoloLens devices issued under BIM360 Tech’s extended equipment and software agreement.
This deposit protects against hardware loss, physical damage, or misuse during the assignment period.

All Autodesk and BIM360 Tech users assigned a HoloLens device must complete this agreement prior to shipment.
The deposit ensures that every device issued under BIM360 Tech’s equipment management program remains in compliance with Autodesk and Microsoft software licensing requirements, and that hardware is returned in proper working condition upon completion of the contract or training term.

This process also helps maintain accountability, prevents unauthorized transfers, and supports ongoing compliance with Autodesk, Microsoft, and BIM360 Tech security standards.

The $650 Compliance Deposit is fully refundable once the HoloLens unit has been returned in its original condition, including all accessories, chargers, and packaging.
Refunds are processed once BIM360 Tech’s technical compliance team verifies the device has been logged back into the asset management system and passes hardware inspection.

If the device is returned damaged, missing components, or outside of the agreed time window, deductions may apply based on repair or replacement costs.

All refunds are issued directly to the original payment method within 7–10 business days following final inspection and compliance confirmation.

Note: Users must maintain active and good standing for the full program term to remain eligible for refund processing.

The Compliance Deposit allows BIM360 Tech to ensure the integrity of issued hardware and maintain accountability across all remote and hybrid teams.

Industry standards require that any AR/XR equipment—such as the Microsoft HoloLens—be assigned only to verified and active project participants to comply with Autodesk and Microsoft device authorization guidelines.

The deposit covers the following:

  • Loss or theft during active assignment

  • Physical damage or neglect during usage

  • Licensing violations or unreturned devices at the end of the program

  • Shipping and handling logistics related to the recovery or replacement of equipment

By maintaining this refundable deposit policy, BIM360 Tech ensures fair use and equal opportunity for all participants while safeguarding the company’s compliance and technology infrastructure.

  • All HoloLens devices are property of BIM360 Tech and are provided under a temporary licensing and compliance agreement.

  • Devices must not be shared, loaned, or transferred to third parties.

  • Each unit must remain enrolled in the BIM360 Tech Device Management System at all times.

  • Users are responsible for any software installed without prior approval.

  • Refunds are processed only after successful return and inspection.
